License terms at a glance
- Cost: There are no costs for the university or for eligible individuals to set up and use the campus license.
- Eligible group of persons: enrolled students, teaching staff, academic staff and administrative staff of the institution – each for use in teaching and study.
- Duration: Use is free of charge as long as the eligibility (study or employment at the institution) exists. Eligibility can be confirmed periodically. There is no time-limited trial phase that expires and no automatic conversion into a paid license.
- Number of users: Within the campus license, the number of eligible students and staff is not limited.
- Updates and upgrades: are included. Eligible individuals can always use the current version of Rillsoft Project.
- Place of use: Use is permitted at the institution’s workplace as well as at home.
- Permitted use: exclusively teaching, study and non-commercial research. Commercial or productive use, as well as passing the software on to persons outside the eligible group, are not permitted.

1. Where can I find the complete license terms?
The terms result from the EULA, “Education” section, together with the clarifications on this page. The campus license is a free Education license; there is no purchase or subscription contract.
2. For which period is use free of charge? Permanently or for a limited time?
Use is free of charge as long as the eligibility exists – that is, during study or employment at the institution. There is no expiring trial phase and no automatic renewal into a paid license. Rillsoft may have the continued eligibility confirmed periodically (e.g. annually); the confirmation is also free of charge.
3. Is there a limit on the number of eligible persons?
No. Within the campus license, all eligible students and staff of the institution may use Rillsoft Project; the number is not limited.
4. Are updates and upgrades included in the free license?
Yes. Both updates (adjustments) and upgrades (further developments) are included. Eligible individuals can always use the current version.
5. Which data protection information applies (GDPR)?
The privacy notice and the EULA, “Data protection” section, apply. For the campus license, the following is particularly relevant:
- Order page and serial number assignment: The university email address of the requesting person is collected via the request form. It is used exclusively to verify eligibility (authentication via the institution’s domain) and to deliver the serial number. A request with a free-mailer address is not possible.
- Purpose limitation: The email address is not sold for advertising or passed on to third parties; it is processed within license administration.
- No telemetry from project work: No usage, telemetry or diagnostic data from the actual work with Rillsoft Project is transmitted to Rillsoft. Project data can be kept in local project files.
- Server location: The program and documentation are provided via servers in Germany.

6. Are there any costs, follow-up obligations or automatic renewals for the university?
No. There are no costs for the university to set up and use the campus license. There is no paid follow-up obligation and no automatic paid renewal. The license is and remains free of charge within the described scope.
7. Is use limited to teaching and study? Also research or administration? Use after the end of study/employment?
- Permitted: teaching, study and non-commercial research.
- Not permitted: commercial or productive use – this includes customer projects, paid services and internal productive administrative processes.
- After the end of affiliation: Eligibility ends with the end of study or employment. Continued use by former students or former staff is not permitted.
Distinction from Microsoft Project, OpenProject and similar solutions
Rillsoft Project complements existing PM tools and is not a pure ticket or task tool. Areas of focus that are often not covered in teaching:
- Realistic resource and capacity planning with qualifications and cross-project bottleneck detection – not just scheduling bars.
- Multi-project planning via a shared resource pool.
- Desktop instead of mandatory cloud: a Windows desktop application, usable without mandatory cloud, with local data storage – relevant for teaching digital sovereignty and for IT procurement criteria.

This makes it possible to teach project management in a practical way and at the same time address operating and data-flow questions that a pure cloud solution does not cover.
